Shop Onboarding Overview

Welcome to Worxflow! This guide walks you through the complete onboarding process to get your auto repair shop operational on our platform.

What You'll Accomplish

The onboarding process consists of 5 main steps that typically take 15-20 minutes to complete:

  1. Shop Profile Setup - Business information and hours
  2. Service Categories - Define your service offerings
  3. Loyalty Program - Configure rewards and tiers
  4. Achievement Badges - Set up customer recognition
  5. Launch - Go live with your shop

Before You Begin

Make sure you have the following information ready:

  • Business name and DBA (if applicable)
  • Business address and contact information
  • Business hours
  • Tax rate for your location
  • List of services you offer
  • Preferred loyalty program structure

Onboarding Flow

Step 1: Shop Profile Creation

When you first log in after registration, you'll be directed to create your shop profile. You'll provide:

  • Shop name and nickname - How customers will see your business
  • Complete address - For customer directions and local search
  • Contact information - Phone, email, and website
  • Business hours - Your operating schedule for each day
  • Time zone - Ensures accurate appointment scheduling

Key Features:

  • Automatic URL generation for your shop's online presence
  • Tax rate auto-detection based on your location
  • Default business hours you can customize
  • Timezone selection for proper scheduling

Step 2: Service Categories

Define the types of services your shop offers. You'll set up:

  • Service names - Clear descriptions customers understand
  • Service duration - How long each service typically takes
  • Point multipliers - Bonus loyalty points for specific services
  • Active status - Which services to offer immediately

  • Oil Change
  • Brake Service
  • Tire Rotation

Step 3: Loyalty Program Configuration

Set up your customer loyalty program to drive repeat business:

Program Settings:

  • Point earning rate - How many points per dollar spent
  • Welcome bonus - Points for new customer sign-ups
  • Referral rewards - Points for customer referrals

Tier Structure:

  • Bronze - Entry level with member pricing
  • Silver - 500+ points with 5% discount
  • Gold - 1000+ points with 10% discount and priority service
  • Platinum - 2000+ points with 15% discount and VIP perks

Step 4: Achievement Badges

Configure badges to recognize customer milestones and encourage engagement:

Popular Badge Types:

  • First Timer - Welcome new customers
  • Loyal Customer - Reward repeat visits
  • Referral Champion - Recognize customer advocates
  • Maintenance Pro - Celebrate preventive care
  • Early Bird - Reward early appointments

Step 5: Launch Your Shop

After completing all steps:

  • Your shop goes live immediately
  • Customer registration URL is generated
  • Landing page becomes accessible
  • Dashboard access is enabled

When you complete onboarding, Worxflow automatically:

  1. Generates Your Shop URLs

    • Public landing page for customers to find you
    • Customer registration link for easy sign-ups
  2. Configures Default Settings

    • Standard labor rates based on industry averages
    • Tax configuration based on your location
    • Payment processing setup (if subscription active)
    • Email notification templates ready to use
  3. Populates Nearby Suppliers

    • Auto-discovers local auto parts suppliers
    • Creates supplier database for quick ordering
    • Sets up default supplier relationships
  4. Enables Core Features

    • Appointment scheduling
    • Customer management
    • Vehicle tracking
    • Service history
    • Loyalty point tracking
    • Invoice generation

Quick Setup Features

Auto-Applied Defaults

When you create your shop, these defaults are automatically applied:

Labor Rates:

  • Standard Rate: $100/hour
  • Diagnostic Rate: $120/hour
  • Express Service: $80/hour

Tax Settings:

  • Auto-detected based on ZIP code
  • State and local rates combined
  • Configurable tax name (e.g., "Sales Tax", "VAT")

Business Hours:

  • Monday-Friday: 8:00 AM - 5:00 PM
  • Saturday: 8:00 AM - 12:00 PM
  • Sunday: Closed
  • All customizable after setup

Post-Onboarding Actions

After completing onboarding, you can:

  1. Access Your Dashboard

    • View real-time metrics
    • Manage appointments
    • Track customer activity
  2. Customize Further

    • Add team members
    • Create detailed service packages
    • Set up integrations
    • Configure advanced settings
  3. Start Operating

    • Accept online bookings
    • Process customer check-ins
    • Generate invoices
    • Track loyalty points

Troubleshooting

Common Issues

Shop creation fails:

  • Ensure all required fields are filled
  • Check internet connection
  • Verify email is unique

Services not saving:

  • At least one service must be active
  • Service names must be unique
  • Duration must be positive number

Can't proceed to next step:

  • Complete current step first
  • Check for error messages
  • Contact support if needed

Skip Onboarding Option

If needed, you can skip onboarding and set up manually:

  • Click "Skip Setup" link at bottom
  • Access dashboard directly
  • Configure settings individually
