Quick Start Guide

Welcome to Worxflow! This guide will help you get your auto repair shop up and running in just 15 minutes.

What You'll Accomplish

By the end of this guide, you'll have:

  • Created your shop account
  • Configured basic shop information
  • Added your first team member
  • Set up your service categories
  • Created your first test appointment

Prerequisites

Before you begin, make sure you have:

  • Your business license or registration number
  • Shop contact information (address, phone, email)
  • Bank account details for payment processing (optional for now)
  • At least one service you want to offer

Step 1: Create Your Shop Account

  1. Go to worxflow.io/register
  2. Select "I'm a Shop Owner"
  3. Click "Create Shop Account"

Enter Your Information

Required Registration Details:

  • Shop Name: Your business name as customers will see it
  • Business Type: Choose from Auto Repair, Quick Lube, Tire Shop, etc.
  • Your Name: Owner or manager name
  • Email: Your primary business email address
  • Phone: Main business phone number
  • Password: Create a secure password for your account
Pro Tip

Use your primary business email that you check regularly. This will be your main login and where you'll receive important notifications.

Step 2: Shop Basic Setup

Once logged in, you'll see the Setup Wizard. Let's configure the essentials:

Shop Location

Address Information Required:

  • Street Address: Your shop's physical location (e.g., "123 Main Street")
  • City: Springfield (example)
  • State: IL (example)
  • Zip Code: 62701 (example)
  • Country: USA
  • Timezone: America/Chicago (automatically detected based on your location)

Business Hours

Set your regular operating hours:

Example Schedule:

  • Monday-Friday: 8:00 AM - 6:00 PM
  • Saturday: 9:00 AM - 4:00 PM
  • Sunday: Closed
note

You can set special hours for holidays later in Settings > Business Hours

Step 3: Add Your First Team Member

Navigate to Staff > Add Team Member:

Service Writer Example

Sample Service Writer Profile:

  • Name: Sarah Johnson
  • Role: Service Writer
  • Email: sarah@yourshop.com
  • Phone: 555-0124
  • Permissions:
    • Create and edit appointments
    • Manage customer information
    • Process payments
    • Cannot view financial reports (owner/manager only)

Technician Example

Sample Technician Profile:

  • Name: Mike Thompson
  • Role: Technician
  • Email: mike@yourshop.com
  • Skill Level: Master Technician
  • Specializations:
    • Engine Diagnostics
    • Brake Systems
    • Electrical repairs
  • Hourly Rate: $35

Step 4: Set Up Service Categories

Let's add your most common services. Navigate to Settings > Services:

Quick Add Common Services

Click "Quick Add Common Services" to automatically add:

  • Oil Change - Starting at $39.99
  • Tire Rotation - Starting at $24.99
  • Brake Inspection - Free
  • Battery Test - Free
  • Multi-point Inspection - Free with service

Add Custom Service

To add your own service:

  1. Click "+ Add Service"
  2. Fill in the details:

Example Service Setup:

  • Service Name: Brake Pad Replacement
  • Category: Brakes
  • Default Duration: 90 minutes
  • Price Range: $150-$300
  • Description: Professional brake pad replacement with warranty
  • Online Booking: Enabled for customer convenience
  • Loyalty Points: 150 points earned per service

Step 5: Create a Test Appointment

Let's make sure everything works by creating a test appointment:

  1. Go to Dashboard > Appointments
  2. Click "+ New Appointment"
  3. Enter test customer:
  4. Add vehicle:
    • Year: 2020
    • Make: Honda
    • Model: Civic
    • VIN: (optional for testing)
  5. Select service: Oil Change
  6. Pick time slot: Tomorrow at 9:00 AM
  7. Assign to: Available Bay
  8. Click "Create Appointment"

Congratulations!

You've successfully set up your shop on Worxflow! Here's what to do next:

  1. Complete Your Profile

    • Add your logo (Settings > Shop Profile)
    • Write your shop description
    • Add photos of your shop
  2. Set Up Payments

    • Connect Stripe account (Settings > Payments)
    • Configure tax rates
    • Set up invoice templates
  3. Configure Communications

    • Customize appointment reminders
    • Set up service update templates
    • Configure notification preferences

Within Your First Week

  • Add all team members
  • Import your customer database
  • Set up your complete service menu
  • Configure loyalty program
  • Create canned jobs for common repairs
  • Set up parts inventory (if applicable)
  • Test the customer booking widget
